For what purposes is your personal data processed?
We will process your personal data for coordinating and carrying out the alumni event. Specifically, your personal data will be processed for the registration at the venue and the design of the content of the programme.
What is the legal basis for processing?
The legal basis for processing your data in order to organise and conduct events for Alumni is Art. 6 (1) (a) GDPR where after consent to the processing of your personal data for one or more specific purposes can be given.
Who are the recipients of your personal data?
Access to your personal data is restricted to those of Our employees and those of the GIZ (Deutsche Gesellschaft für Internationale Zusammenarbeit GmbH), who are required to process your personal data to fulfil the abovementioned purposes. The respective employees will handle your personal data properly and confidentially.
We transfer your data to external service providers who support us in the following activities: storage and management of data, IT support, implementation of the event. In doing so, We ensure that these service providers are carefully selected, contractually bound in accordance with data protection and regularly checked.
Third Country Data Transfer:
Participant data such as family name, passport data, given name and date of birth will be passed on to the German embassy in the partner country Ukraine to facilitate the registration at the venue. This third country data transfer is carried out on the legal basis of Art. 49 (1) lit (d) GDPR. Thereafter, transferring personal data is lawful if it is necessary for the performance of a task carried out in the public interest.
How do We store your personal data?
All data is hosted at BMWE servers, located in Germany, in accordance with the GDPR. We secure the data by means of suitable technical and organisational measures against unintentional or intended falsification, destruction, loss or access by unauthorised persons.
How long is your personal data retained?
Your details regarding your participation in this alumni event will be retained for 12 weeks.
What are your data protection rights?
You have the right to enquire about your personal data or to have it corrected if necessary. You may request that We erase your data or cease processing it, subject to certain exceptions.

Declaration of Consent for Participants of the Alumni Event of the Training Programme for Executives of the Ukrainian Government, financed by the German Federal Ministry for Economic Affairs and Energy (BMWE) and implemented by the Deutsche Gesellschaft für Internationale Zusammenarbeit (GIZ) GmbH, on the use of video and photos by the BMWE and GIZ. The BMWE and GIZ intend to use photo and video recordings for public relations and documentation purposes in accordance with Art. 6 Para. 1 e) GDPR in conjunction with §3 BDSG, particularly to inform the general public about the Alumni Event, in accordance with Art. 45 ff. GDPR and Art. 49 Para. 1 d) GDPR.

The declaration of my consent is voluntary. I can refuse it without giving reasons and without having to fear any disadvantages as a result. I am also entitled to the other rights set out in the data protection regulations of BMWE (https://www.bundeswirtschaftsministerium.de/Navigation/EN/Service/Privacy-Policy/privacy-policy.html) and GIZ (www.giz.de/en/html/data_protection.html). I acknowledge that once photos and videos are published, especially on the internet and social media, the BMWE and GIZ can no longer fully guarantee control over their further use and distribution by third parties.
My consent is valid until I revoke it. I can declare this revocation at any later time without giving reasons by telephone, in writing or by e-mail (ua.gov.executives@bmwe.bund.de). The withdrawal of consent shall not affect the lawfulness of processing based on consent before its withdrawal. If there is another legal basis for the further processing of my data, the BMWE and GIZ are entitled to do so. Otherwise, recordings of me will be deleted upon withdrawal of consent.
